Transfer and Cancellation Policies

5Wildheart Nature School is a small organization that aims to provide the best possible educational experience for our students. To achieve this, we have implemented strict cancellation policies that we kindly ask our community members to respect. Every cancellation request takes significant resources to field, and it can be challenging to fill the space left by a cancellation on short notice. When we reserve a space for a student, we often turn away other families because we are holding that space for them. Unfortunately, if a student cancels, we are often unable to recover the tuition, which affects our ability to provide the best possible experience for our students. We kindly ask that you understand the importance of our cancellation policies and respect them so that we can continue to provide the highest quality of education for our community. Thank you for your understanding and continued support.

General Policies

*We have a 24 hour “oops” policy, meaning that you can receive a full refund for up to 24 hours after you register for an event.

*We do not offer refunds under any other circumstances except the 24 hour “oops” policy unless you purchase Registration Protection at check out.

*Although your payment is not always 100% refundable, it is 100% transferable to another participant.

* No credits or refunds are issued for the Mommy/Daddy & Me Class series after the 24 hour window after registration is completed.

*Should you choose the payment plan option at check out, you will be responsible to complete your payment plan, regardless of whether or not you complete the class series or summer camp, unless you purchase Registration Protection or are attending the Wildheart Mixed-Age Kindergarten.

*If you request to transfer to a different program or hold the balance in your account 30 days or more before the start date of the class or start of class series, there will be a $10 transfer fee. This includes transferring from a 4-day spot to a 2-day spot in Mixed-Age Kindergarten.

*If you request to transfer to a different program or hold the balance in your account 15 – 29 days before the start date of the class or start of class series, there will be a fee of 50% of the program cost. The other 50% will be left as a credit in your account for a future camp. If you are on a payment plan, you will still be responsible for completing 50% of the program cost.

*No credits will be given for transfers 14 days or less before the start date of the class or class series.

*No credits or refunds will be given after a class series has already started unless you purchase Registration Protection or are attending the Wildheart Mixed-Age Kindergarten Program.

*Missed classes within a series will not be credited.

*If we need to cancel a class for any reason such as smoke or icy roads, no credits or refunds will be issued unless you purchased Registration Protection.

*No credits or refunds will be issued for additional days added by the Bend Lapine School District. For instance, in the scenario where you enroll in a summer camp and the school district extends the academic year and the days overlap, no credits or refunds will be provided, regardless of whether you have purchased registration protection.

Kindergarten Specific Policies

*There are no credits or refunds issued for the non-refundable deposit, even if you purchase Registration Protection.

*If you decide to cancel your enrollment once you have already started the program between your time of enrollment and December of your school year, you will be responsible for completing payments that apply to September through December. This means if you are on a payment plan, you will only need to pay September through December. If you paid in full, you will be credited the amount that you paid to be enrolled January-June. You may be eligible for a partial refund if you purchase Registration Protect. See Terms and Conditions for more information.

*If you decide to cancel your enrollment once you have already started the program between January and June, you will be responsible for completing your payment plan and you will not be eligible for a credit toward a future camp. You may be eligible for a partial refund if you purchase Registration Protect. If your situation qualifies, we can give you an 50% refund for the remainder of your school year. We will multiply the number of classes that you will not be attending by the amount of money paid per class and then multiply by .5 to get the 50% refund amount. *If you are transferring from a 4-Day spot to a 2-Day spot, the above cancellation policy will only apply to the 2-Day spot you are leaving. For example, if you are transferring from a 4-Day spot to a 2-Day spot in October, you will be responsible for your payments towards a 4-Day spot through December. Starting in January, you will only be responsible for your 2-Day per week payments. For example, if you are transferring from a 4-Day spot to a 2-Day spot in February, you will still need to pay for your 4-Day spot through June.

*Since we account for one full week of cancellations due to weather, you can only receive a refund from Registration Protection if we cancel 5 or more days.

Registration Protection Terms and Conditions

Registration Protection is a session option that you can choose during check out for some programs. It ensures that you can receive a refund if you give us 30 days notice or in specific instances such as:

  • Illness or injury right before your booked event
  • Adverse weather conditions
  • Work relocation
  • Any reason, as long as you give us 30 days notice

If applied to a class series for full school year program, you can also get a partial refund mid-term under specific circumstances. Please see Terms and Conditions above for more details.
